The simpler-looking option can change once materials, equipment and the limited cost trader test enter the calculation. We work through both routes before the next return is filed.

What the right VAT choice changes next
Price commissions with VAT accounted for
See how each method affects the amount kept aside before agreeing the next project.
Know why the method suits you
The decision follows your sales, materials and eligible purchases rather than a general rule.
Stop revisiting every quarterly return
Your software and VAT routine follow the chosen method from the start.
Where the wrong VAT choice first shows up
A scheme chosen at registration can stop fitting when the work changes.
- VAT
“I chose flat rate when I registered, but nobody checked it against what I actually buy.”
Regular materials and equipment can change the comparison. The purchase pattern needs checking against standard VAT.
- Margin
“My commissions grew, materials changed, and I still cannot tell which method leaves more for the studio.”
That uncertainty reaches pricing. A quote can look workable before the VAT due is considered.
- Test
“I only found the limited cost trader test after the return was due.”
Service businesses can have plenty of costs without buying enough qualifying goods. That can change the rate applied.

What changes once VAT advice is in the room?
We compare recent sales with materials and other eligible purchases. We apply the limited cost trader test to the relevant period. Then we explain which method fits and what could change that answer.
Quick check · no email
If you cannot say which VAT method costs less, whether the limited cost trader test applies, and who checks it, it is worth a conversation
Answer these three questions using your position this week.
Question 1 of 3
Do you know whether your rolling turnover is close to the £90,000 VAT line?
Do you know whether your purchases pass the limited cost trader test?
Do you know which method produces the better result before your next return?
The gaps affect pricing and the amount kept aside for HMRC. A conversation with Ryan can establish what needs comparing.
Much of the position is already covered. The remaining answer is worth checking, especially when turnover or materials have changed.
Your VAT position appears well managed. The VAT guides can help you watch for changes between returns.
Standard VAT or flat rate: what changes?
The better route depends on what you sell and what the business regularly buys.
Standard VAT
VAT on business purchases is normally reclaimed when the rules allow.
It can suit studios with regular materials, equipment or other recoverable costs.
Each return follows sales VAT less eligible purchase VAT.
Accurate purchase coding matters because each eligible cost affects the result.
Flat rate
VAT paid to HMRC follows an industry percentage applied to VAT-inclusive turnover.
Most purchase VAT stays outside the calculation, with limited exceptions.
The limited cost trader test can move low-goods businesses to a higher rate.
It can suit some businesses after their actual sales and costs are compared.
What to check before choosing a method
Each answer changes the comparison, sometimes more than expected.
- 01
Is the business already VAT registered?
Confirm the registration date and current method.
- 02
Are most customers VAT registered businesses?
Customer type affects how a price increase may land.
- 03
Do projects need regular materials?
Eligible purchase VAT can make standard VAT more useful.
- 04
Does the business buy equipment?
The type and timing of the purchase matter.
- 05
Are most costs services or software?
Those costs may not count as qualifying goods.
- 06
Has the mix of work changed?
A method chosen earlier may need another comparison.
- 07
Are sales and purchases coded correctly?
The comparison depends on the underlying transactions.
- 08
Is somebody checking each return period?
The limited cost trader position can change between periods.

What clients say
One Abacus was recommended to me by several friends and I truly owe them a huge favour as this company has been exemplary! As a new limited company myself and a novice to the contracting world I have had tons of questions and they have been dealt with promptly, effectively and in an approachable and really helpful manner. I couldn't recommend One Abacus enough!
I am currently using one Abacus for sorting out all my freelance accounts and i have to say everything has been perfect with my accountant. they are normally always available even on the weekends when you need something sorted out really quickly. they have sorting out everything from helping with mortgage and notifying when you to pay your tax. really nice and responsive people to talk to if you have questions.
One Abacus has provided me a comprehensive service, very professional accountant, but friendly at the same time, maximum availability, I couldn't be happier.
How we reach the answer before filing

Both methods are compared
Recent sales, materials and eligible purchases show how each route behaves.
The chosen method is set up
FreeAgent or Xero is configured and the day-to-day coding is explained.
The next return is checked
We revisit the trader test and any change in sales or purchasing.

It is not for charities, CICs, construction or CIS-led businesses.
It is not designed for stock-heavy retail or till-based e-commerce.

Questions creatives ask before choosing VAT
What does the monthly fee include for VAT flat rate scheme advice?
Our fixed monthly package can include VAT registration, scheme checks, quarterly returns, FreeAgent or Xero, payroll and the annual company filings. Advice and conversations are included. The exact work depends on your company, so we ask a few quick questions and put the agreed scope in writing before anything starts.
Can you review my flat rate VAT position if I already have an accountant?
Yes. We can compare your current method with standard VAT using your recent sales and costs. You can then decide whether to stay where you are or ask us to take over. We only sign off returns and calculations that we have prepared ourselves.
Do I have to move accounting software for you to handle VAT?
That depends on what you already use. We work with FreeAgent and Xero, and either can be configured for the chosen VAT method. If a move is sensible, we set it up, link the bank feed and show you the routine before returns are handled there.
What happens with my current accountant if I move to One Abacus?
If you choose to move, we request the handover information and pick up the next VAT deadline. There is no need to wait for your year end. We agree the scope in writing first, then arrange the software and any registrations needed for the company.
How does the VAT flat rate scheme compare with standard VAT?
Standard VAT usually works from VAT charged on sales less allowable VAT on purchases. Flat rate uses an industry percentage of VAT-inclusive turnover and usually restricts purchase VAT claims. We compare both methods using your recent commissions, materials, equipment and other eligible costs before recommending a route.
How does the limited cost trader test affect designers and consultants?
It checks whether spending on qualifying goods is low compared with VAT turnover. Service businesses can be affected because software, rent and many other costs are not qualifying goods. We apply the test to each relevant period before reviewing the method.
