A Xero accountant with a 90-day plan for a routine year end
Xero accountant support should keep bank feeds, invoices, payroll and the books current, so year end uses work already done. We set it up, show you the routine and handle every filing.

A few quick questions, then a plain recommendation and a fixed monthly fee in writing. About two minutes. No monthly tie in.
- Bank feed fully matched
- Tax set aside early
The awkward part is rarely opening Xero. It is knowing what belongs there, what HMRC expects next and whether enough tax is set aside. We establish the routine, then keep the books current.
One Abacus is a two-person practice in Brixton for small limited companies using Xero. One fixed monthly fee agreed in writing covers setup, payroll, VAT and annual filings, and the accountant doing the work answers the phone.
- Rated 5.0 on Google
- One fixed monthly fee, agreed in writing
- FreeAgent or Xero included
- Brixton, by appointment
What changes when Xero stays current
See what the company can spend
Matched transactions and current invoices make upcoming tax and supplier payments easier to plan.
Reach year end without reconstruction
The accounts come from books maintained throughout the year, rather than twelve months rebuilt at once.
Get an answer from your accountant
The person handling your accounts takes the call when a payroll, VAT or invoice question appears.
Where the Xero routine starts slipping
Small gaps become expensive decisions when the bank balance is the only answer available.
- Tax bill
“I raised the invoices in Xero, but I still cannot tell what the business can safely spend.”
The bank balance became the answer, making VAT and corporation tax easier to spend by mistake.
- Hire
“We hired someone, added payroll and assumed the software would tell us what had to happen next.”
A first hire brings payslips, submissions and payment dates that need a named person responsible.
- Year end
“Everything is in Xero somewhere, but year end still means several evenings working out what is missing.”
Unmatched payments and missing invoices turn a routine filing into a search through old emails.
- Sorted
What changes once the routine is properly set?
The bank feed is checked while each transaction is still familiar. Payroll and VAT dates sit with us. Year end becomes the final step in work already completed.
Quick check · no email
If Xero cannot show what is due, when tax will land and who answers your questions, it is worth a conversation
Answer these questions using what you can confirm about the company this week.
Question 1 of 3
Do you know whether every bank transaction has been dealt with in Xero?
Do you know what tax is likely to be due before the payment date?
Do you know who handles every payroll, VAT and year-end filing?
Those gaps can affect spending, hiring and what you take from the company. A conversation with Ryan can establish what needs attention first.
Much of the routine is already working. The remaining gap is worth checking before it reaches a filing date.
Your setup appears well covered. The guides can help when the next software or company decision comes round.
What changes when the books stay live
Both approaches can produce accounts, but they support different decisions during the year.
Books updated near year end
Transactions are sorted long after the purchase.
Missing invoices surface when the accounts are due.
Tax becomes visible close to its payment date.
Questions wait for the yearly accounts conversation.
Books kept current
Bank transactions are matched while they are familiar.
Invoices and payments show what remains outstanding.
Payroll and VAT follow an agreed routine.
Questions go to the accountant doing the work.
What needs checking before year end feels routine
Each yes removes one reason for a late search through emails and bank statements.
- 01
Is the business bank feed connected and working?
Transactions should arrive without manual uploads.
- 02
Are bank transactions matched while purchases are familiar?
Old payments become harder to identify accurately.
- 03
Are customer invoices raised in the same system?
Outstanding payments should be visible without another spreadsheet.
- 04
Is payroll run by an agreed person each month?
The submission and payment date both need an owner.
- 05
Are VAT returns built from current books?
Quarterly filing should not require a fresh reconstruction.
- 06
Is tax kept apart from normal spending?
The bank balance should not hide an upcoming liability.
- 07
Are year-end responsibilities written down?
You should know what you provide and what we handle.
- 08
Was every return prepared by the firm signing it?
One Abacus only signs off work it has done.

What clients say
One Abacus was recommended to me by several friends and I truly owe them a huge favour as this company has been exemplary! As a new limited company myself and a novice to the contracting world I have had tons of questions and they have been dealt with promptly, effectively and in an approachable and really helpful manner. I couldn't recommend One Abacus enough!
I am currently using one Abacus for sorting out all my freelance accounts and i have to say everything has been perfect with my accountant. they are normally always available even on the weekends when you need something sorted out really quickly. they have sorting out everything from helping with mortgage and notifying when you to pay your tax. really nice and responsive people to talk to if you have questions.
One Abacus has provided me a comprehensive service, very professional accountant, but friendly at the same time, maximum availability, I couldn't be happier.
How the first months bring Xero under control
The order matters because each step makes the next filing easier.
Know what HMRC expects next
Ryan reviews the company, its customers, current setup and upcoming dates before the fee is agreed.
Have Xero set up around the business
We configure Xero, connect the bank feed and show you how to raise invoices correctly.
Put payroll and VAT on a routine
Responsibilities are agreed, transactions are dealt with and each filing has a clear owner.
Make year end the final step
Current books support the accounts, corporation tax return, confirmation statement and director’s return.
Where this Xero service may not fit
The business only wants low-cost bookkeeping without the wider monthly package.
The work depends on stock, tills or heavy retail inventory.
Someone wants a self-filed return endorsed without us preparing it.
The business is a charity, CIC, construction company or CIS-led trade.
The quiz will show whether the service fits before you spend time discussing a move.
What owners ask before moving their books
What does a Xero accountant include in the monthly fee?
One fixed monthly fee covers Xero, setup, bank feeds, unlimited advice, monthly payroll, quarterly VAT returns and the annual company filings. It also covers the director’s self assessment. The price is agreed in writing before work starts, so routine questions do not create another invoice.
Can a Xero accountant help if I already have an accountant?
Yes. You can use the quiz to explain what you want changed and when your next deadline falls. Ryan will tell you what the company needs over the coming year and put the fee in writing. You can then decide whether moving makes sense.
Do I have to move accounting software to work with One Abacus?
No. If your business already uses Xero, we can review the setup and keep working there. If you use another system, we will first discuss whether changing helps the way you invoice, run payroll and prepare VAT returns. The software should suit how the business operates.
What happens with my current accountant if I switch?
If you decide to move, we ask your current accountant for the handover information and identify the next filings. There is no need to wait for the year end. We then check the software setup, connect the bank feed where needed and agree who handles each remaining task.
Can Xero handle my invoices and company payroll?
Xero can produce invoices and support payroll, but the setup and routine still matter. We configure the software, show you how to raise invoices and handle payroll submissions within the monthly package. Your books then stay ready for VAT returns, accounts and corporation tax work.
Do I need to be based in South London?
No. One Abacus is based in Brixton and works with small companies across South London. Companies elsewhere in the UK can work with us by phone, video and cloud software. Office visits at Coldharbour Works are available by appointment when meeting locally is useful.
